Our Commitment
Storykeepers Community CIC recognises the importance of celebrating our projects through photography, video and creative content while respecting the privacy, dignity and wishes of every participant.
We are committed to obtaining appropriate consent before capturing or sharing photographs, videos, audio recordings or creative work.
Purpose
This policy explains how Storykeepers Community CIC collects, uses and stores photographs, video recordings and other media created during our projects.
Our Principles
We will always:
Respect an individual's right not to be photographed or recorded.
Explain clearly how photographs and recordings may be used.
Obtain appropriate consent before publication.
Store media securely.
Treat all participants with dignity and respect.
Consent
Where photographs, videos or recordings are taken, we will obtain appropriate consent before using them.
Consent may be obtained from:
Adult participants.
Parents or legal guardians for children where required.
Care homes or partner organisations where appropriate and in accordance with their own procedures.
Participation in a Storykeepers project does not automatically mean someone agrees to appear in photographs or promotional material.
How Images May Be Used
With permission, photographs, recordings and creative work may be used in:
Storykeepers publications.
Community anthologies.
Books.
Project reports.
Funding applications.
Exhibitions.
Newsletters.
Our website.
Social media.
Promotional materials.
Press releases.
Participants will be informed where possible if their contributions are intended for publication.
Children
When working with children:
Appropriate parental or organisational consent will always be obtained where required.
Schools and partner organisations' safeguarding procedures will be respected.
Images will never be used in a way that places children at unnecessary risk.
Children will not normally be identified by full name unless specific permission has been granted.
Older People and Vulnerable Adults
Many Storykeepers projects celebrate the memories and stories of older generations.
We recognise that sharing personal stories is a privilege.
Where participants may have fluctuating capacity or require additional support, we will work closely with families, carers and partner organisations to ensure informed consent is obtained wherever appropriate.
Participation is always voluntary, and individuals may choose not to be photographed or recorded.
Creative Work
Storykeepers projects often include writing, artwork, poetry and photography created by participants.
Ownership of creative work will always be made clear before publication.
Separate contributor agreements may be used where work is intended for publication.
Storage
Digital media will be stored securely using password-protected systems.
Access will be limited to authorised individuals where necessary.
Withdrawal of Consent
Participants may withdraw consent for future use of photographs or recordings at any time by contacting Storykeepers Community CIC.
While we will always make reasonable efforts to remove material from future publications and digital platforms, it may not be possible to withdraw printed publications or previously distributed materials.
Third-Party Photography
Where external photographers or media organisations attend Storykeepers events, participants will be informed in advance wherever reasonably possible.
Policy Review
This policy will be reviewed annually and updated where necessary.

Every photograph, recording and story entrusted to Storykeepers represents a real person, a real memory and a real moment in time.
We promise to treat these with the same care, dignity and respect that we would wish for our own stories, ensuring that every contribution is shared thoughtfully, responsibly and with the permission of those involved.
